This policy explains how individuals can report concerns, how FutureBeeAI will handle reports, and the protections available to those who make disclosures.
This policy applies globally across all FutureBeeAI subsidiaries, businesses, divisions, and operations. If local laws provide stronger protections, those laws will take precedence.
This policy does not form part of any contract of employment or any other agreement.
2. Who is a Whistleblower?
A Whistleblower (or "Reporter") is any individual who reports or attempts to report improper conduct under this policy. This includes:
Current and former employees (full-time, part-time, temporary, casual, interns, and contractors).
Suppliers, service providers, consultants, or their employees and subcontractors.
Directors, managers, and executives.
Any other person connected to FutureBeeAI who has reasonable grounds to report misconduct.
3. What Constitutes Improper Conduct?
Improper conduct includes but is not limited to:
Fraudulent, dishonest, or corrupt activities.
Illegal activities (e.g., theft, bribery, money laundering).
Serious breaches of company policies or ethical standards.
Harassment, bullying, or discrimination.
Actions that endanger health, safety, or the environment.
Conflicts of interest or abuse of power.
Privacy violations or mishandling of sensitive data.
Any conduct detrimental to FutureBeeAI’s interests, reputation, or financial position.
4. How to Report Misconduct
Whistleblowers can report concerns in any of the following ways:
1. Email: Send a confidential report to hello@futurebeeai.com.
2. Direct Reporting: Speak with an officer, director, the company’s legal team, or a senior executive at FutureBeeAI.
3. External Reporting: If necessary, whistleblowers may report concerns to relevant regulatory authorities or law enforcement.
Note: Reports should be made in good faith, with reasonable grounds to believe the disclosed information is true.
4.1 Anonymous Reporting
FutureBeeAI allows anonymous reporting. Whistleblowers who wish to remain anonymous:
Are not required to reveal their identity at any point.
Can use encrypted communication methods if preferred.
Will have their anonymity respected throughout the investigation.
However, anonymous reports may limit our ability to conduct a full investigation.
5. What Should a Report Include?
To assist in the investigation, whistleblowers should include:
Nature of the misconduct (e.g., fraud, harassment).
Names of individuals involved.
Date, time, and location of the incident(s).
Names of any witnesses or others who may verify the claim.
Any supporting evidence (documents, emails, photos, etc.).
6. Confidentiality and Protection
FutureBeeAI is committed to protecting whistleblowers.
Reports will be treated confidentially to the fullest extent possible.
The identity of the whistleblower will not be disclosed without their consent, except where required by law.
Information will only be shared with those necessary for the investigation.
In exceptional cases, FutureBeeAI may be legally required to disclose a whistleblower’s identity, such as:
Regulatory or law enforcement requirements.
To prevent imminent risk to public safety or serious harm.
7. Investigation Process
1. Acknowledgment: FutureBeeAI will acknowledge receipt of the report (if contact details are provided).
2. Initial Review: A designated investigator will assess the claim to determine its validity.
3. Investigation: A full investigation may be conducted internally or through an independent third party.
4. Outcome: Upon completion, a high-level summary of the investigation findings may be shared with the whistleblower (where appropriate).
5. Escalation: If the whistleblower is dissatisfied with the outcome, they may request an internal review by senior management.
Investigations will be conducted fairly, impartially, and promptly.
8. Protection from Retaliation
FutureBeeAI strictly prohibits retaliation against whistleblowers. Retaliation includes:
Termination, demotion, or unfair treatment.
Harassment, bullying, or intimidation.
Any action that negatively impacts the whistleblower’s career, income, or reputation.
Any employee found retaliating against a whistleblower will face disciplinary action, including potential termination.
If a whistleblower believes they are being retaliated against, they should report it immediately to FutureBeeAI’s legal or HR team.
9. Support for Whistleblowers
FutureBeeAI is committed to supporting whistleblowers throughout the process.
Confidential guidance and support will be available to employees.
Former employees who report misconduct may still receive reasonable assistance.
Non-employee whistleblowers (e.g., contractors, suppliers) will be provided support where possible.
10. Reporting to Regulators
Nothing in this policy prevents a whistleblower from reporting misconduct to government agencies, regulators, or law enforcement.
11. Policy Violations and Consequences
Breaching this policy may result in disciplinary action, including termination of employment or contract.
Breaching whistleblower confidentiality or engaging in retaliation will be taken seriously and may lead to legal consequences.
12. Review and Updates
FutureBeeAI will review this policy annually to ensure its effectiveness. Any updates will be communicated to employees and relevant stakeholders.
